Terms & Conditions
1. General Rules (Premises & Pool Etiquette)
1.1. Swimmers Swim School lessons are provided in a private residence; please do not arrive more than 10 minutes before your lesson time as there will not be available space to park your vehicle. Entrance to the pool complex is only permitted 10 minutes before your lesson start time; you may be requested to wait outside if you are too early.
1.2. Please only park on the designated parking area and never on the grass or outside the drive on the farmer's private land even if you see other cars there. We only have permission for our teachers to park there.
1.3. Only 1 car permitted per swimmer. If you share a private lesson you must come in only 1 car.
1.4. Additional people on poolside should be kept to an absolute minimum. 1 person per swimmer poolside is recommended.
1.5. Please keep noise to a minimum for safety reasons. The lesson may need to be stopped if noise becomes too loud.
1.6. Please drive with extreme caution at all times and do not exceed 5mph.
1.7. People are not permitted to venture into the gardens or anywhere else on the property. Please do not allow your children to go onto the garden area or the adventure play equipment around the pool complex.
1.8. Dogs are not permitted to be on the property at any time.
1.9. Prams are not permitted around the pool area or in the changing room at any time. Prams may be left on the patio area at the owner’s risk.
1.10. Please do not wear socks or shoes beyond the entrance. Exits must be kept clear at all times.
1.11. Please do not bring any glass or ceramic items into the pool complex.
1.12. Smoking, including vapes, is strictly prohibited in or around the pool complex or on the premises.
1.13. Eating or drinking, other than water, is not permitted within the pool complex.
1.14. Photography & videography is strictly prohibited without prior consent. Please ask for details.
1.15. Mobile phones are not permitted on the poolside area.
1.16. We understand that adults may need to bring other children to the lesson and they may need to be entertained. For this reason only, ipads or similar devices are permitted on poolside providing they are on silent.
1.17. In the interest of safety; during lessons, parents/guardians should refrain from approaching the poolside, distracting any swimmers or talking to either their child (other than providing encouragement) or the teacher (unless in a health and safety emergency). Any individual who is not participating in the swimming lesson should stand back from the edge of the pool.
1.18. Parents must remain within the pool building whilst their children are swimming.
1.19. Safety is of the utmost importance. Swimmers Swim School reserves the right to remove, temporarily or permanently without refund, any individual in or around the pool area who causes the pool owner or Swimmers Swim School teachers any concern whatsoever with regards to safety or child protection. These may include (but are not limited to):
· Dangerous behaviour such as pushing, running or jumping uninstructed into the pool.
· Teaching aids/floats being used in anyway other than as directed by the teacher.
· Photos or videos being taken without prior consent of the teacher.
· Interference or misuse of emergency/lifesaving equipment.
· Abusive or aggressive behaviour towards members of staff, other parents or swimmers.
2. Parental Responsibilities
2.1. Parents/guardians are responsible at all times for their children within the changing areas, the pool complex, grounds and car park.
2.2. Parents are expected to pay attention to what is happening in the pool and work with the swimming teacher to address any unsafe or inappropriate behaviour on behalf of their swimmer. Swimmers Swim School staff reserve the right to ask any swimmer to sit on the side of the pool, or leave the pool and get changed, if they are being disruptive and affecting the safety of the lesson. No refund will be provided for this session.
2.3. If a child is consistently displaying dangerous or disrespectful behaviours then we will work with parents to address this but Swimmers reserves the right to cancel a swimmer’s place in class. No refund will be provided for the cancelled sessions.
2.4. Swimmers must not enter the pool until instructed to do so by their swimming instructor and should leave promptly at the end of the lesson.
2.5. Swimmers Swim School reserve the right to refuse entry to the pool if the following guidelines are not adhered to:
· Boys swim shorts should be above the knee.
· Girls should wear a one-piece swimsuit.
· Goggles are acceptable, but parents/guardians are responsible for ensuring that they are the correct tightness before the lesson commences to minimise disruption. To maximise safety, please avoid any goggles that obscure the teacher’s view of a swimmers eyes (such as the ones where the lenses look like lizard eyes).
· Children wearing nappies MUST wear a disposable swim nappy with a happy nappy (double nappy system).
2.6. Please ensure plasters are removed before entering the pool.
2.7. Please ensure that a verruca sock is worn if your child has a verruca.
2.8. Please ensure that no items of jewellery such as necklaces or bracelets are worn in the pool.
2.9. Please ensure that your child does not eat anything other than a light snack within 30 minutes of the lesson start time.
2.10. Parents are responsible for ensuring that their child has been to the toilet/does not need the toilet before the start of the lesson to avoid disruption and maximise their learning time.
2.11. Please ensure that both adults and/or children only swim if they are physically fit to do so.
2.12. Sanitary products, nappies or hand towels must not be flushed down the toilet.
2.13. When the teacher gives a clear signal of CLIMB OUT, the pool must be evacuated immediately. If it is safe to do so, then parents/guardians should assist to ensure it is done as quickly and safely as possible.
2.14. Children are not permitted on the premises, or into the pool complex unless accompanied by an adult (aged 18 or over).
2.15. Children over 3 years old must wear a swimming hat in the pool. Fabric ones are available to borrow.
3. Sickness & Holiday
3.1. Please inform Swimmers Swim School via Whats app or through a Facebook message as soon as you are aware of any absence from a lesson, providing the child’s name and the time slot of their lesson.
3.2. Refunds will not be provided for lessons not attended due to swimmer illness. Exceptions may apply in cases of prolonged or severe illness/trauma but remain at the discretion of Swimmers Swim School.
3.3. If you wish to take a holiday during term-time, then no refund will be provided but you will retain your child’s space in the lesson.
3.4. If your child, or anyone in the household/immediate family, suffers from a vomiting or diarrhoea related illness, no admittance will be permitted into the pool or the pool complex for 48 hours after the illness/symptoms have ceased. Please adhere strictly to this request. In addition to this please see guidance from the COVID-19 document.
3.5. In the event of teacher illness, a cover teacher will be provided. In the event that this is not possible then an additional lesson will be provided within that term or the next. If this is not possible then a credit will be applied to the next half term’s invoice.
3.6. In the event of pool closure, by the pool or Swim School owner, an additional lesson will be provided within that term or the next. If this is not possible then a refund will be provided for the missed lesson. Parents will be notified of a pool closure as early as possible via Class4kids email and Facebook.
4. Admission, Booking & Payments
4.1. Swimmers already enrolled with Swimmers Swim School will have priority when booking places for the next term (providing payment has previously been received on time). Any swimmers wishing to join Swimmers Swim School who are not currently allocated a place in a class will be placed on a waiting list. Siblings of swimmers currently enrolled in Swimmers Swim School will have priority and any other places are offered on a first come, first served basis.
4.2. An enrolment email or alert via Class4kids or email will be sent out in the second half of the term; if a reply confirming re-enrolment is not received by the requested date and the appropriate payment not made on time then your place will be offered to the waiting list.
4.3. Payment of the remaining term balance needs to be made in full via Class4kids or bank transfer as soon as you confirm you would like to sign up.
4.4. Swimmers will not be allowed to participate in a lesson if payment has not been made.
4.5. Payments are made via Class4kids or bank transfer.
4.6. Swimmers Swim School will aim to be flexible in the allocation of lesson slots. However, it may not always be possible to re-book your first choice of time due to the groups being based on ability/constraints of class size. Allocations of swimmer’s places in classes are at the discretion of Swimmers Swim School.
5. Refunds & Cancellation
5.1. 1 months notice is required in the event that you would like to cease attending lessons within the term. Refunds will not be given before this notice is up unless the space can be filled within that time.
5.2. Refunds and credits cannot be provided if your child refuses to enter the water or participate in the lesson.
5.3. Any non-attendance due to circumstances out of Swimmers Swim School’s control, such as adverse weather conditions or road closures, will not be refunded if the pool is still open.
5.4. Swimmers Swim School cannot accept any responsibility if a customer is unable to find the swimming pool, arrives late or at the incorrect time for a lesson where the correct details have been provided.
5.5. Lessons will not be credited or refunded if there is a change of teacher.
5.6. If 15 minutes or more of a lesson has to be cancelled due to sickness, blood or faeces in the pool, a replacement lesson will be offered.
5.7. If a replacement lesson and/or alternative lessons are provided due to a cancelled lesson, refunds will not be given.
6. Liability
6.1. Vehicles are parked at the owner’s risk.
6.2. No liability is accepted by Swimmers Swim School for any items that are lost, stolen or damaged within the pool complex, grounds or car park, whether worn or left in vehicles or changing room.
6.3. Swimmers are not the responsibility of Swimmers Swim School (or its staff) until they enter the swimming pool.
6.4. No responsibility will be accepted by Swimmers Swim School or the pool owners for any accident or injury that occurs due to children or adults not adhering to the General Rules (Section 1).
6.5. Swimmers Swim School does not accept any liability for any accident or injury (including fatality) to any individual that occurs on the grounds, car park or within the pool complex, except any liability that arises from any proven negligence of Swimmers Swim School or its staff. Any such incidents must be reported to Swimmers Swim School immediately and a report MUST be filed.
6.6. Numbered storage boxes are provided in the changing areas for dry clothes and towels. Please slide them under the benches whilst lessons are in session to keep the changing areas tidy and minimize the risk of any misplaced belongings.
6.7. We may, in order to aid your child’s swimming, physically help your child to swim, jump in or climb out of the pool. This is in accordance with the Child Protection Act, if you would rather we do not do this please let us know prior to your child’s first lesson.
